A short message at the right time is one of the cheapest ways to cut no-shows and keep your schedule full. Below are 12 barber appointment texts you can copy and paste into SMS or WhatsApp, from the booking confirmation to the no-show follow-up, plus tips on when to send each one.
Replace the parts in [brackets] with your details. If you want a message filled in for you, the free appointment confirmation message generator creates one with the client's name, date, time and address.
What every reminder should include
- The client's name, so it feels personal and not automated.
- Day and time, written clearly ("Friday, March 14 at 3:30 PM", not "tomorrow-ish").
- The service, so they know how long it will take.
- Where: shop name and address, or a map link for new clients.
- What to do if plans change, ideally "just reply to this message".
Keep it short. Most people read reminders on a lock screen, so the key details should fit in the first two lines.
Booking confirmation
1. Right after booking
Hi [Name], you're booked for a [service] on [day, date] at [time] at [Shop]. See you then! If anything changes, just reply here.
2. First visit (new client)
Hi [Name], thanks for booking with [Shop]! Your [service] is on [day] at [time]. We're at [address] ([map link]). Please arrive 5 minutes early. Reply here if you need to change anything.
Reminders before the appointment
3. 24 hours before
Hi [Name], quick reminder: your [service] is tomorrow, [day], at [time]. Reply YES to confirm or let me know if you need a new time.
4. Same day, 2–3 hours before
Hey [Name], see you today at [time] at [Shop]. If you're running late, send me a message.
5. Appointment booked weeks ahead
Hi [Name], just a heads-up that your [service] is coming up on [day, date] at [time]. Still works for you? Reply YES or tell me a better day.
Running late and timing issues
6. You are running late
Hi [Name], I'm running about [10] minutes behind today. Sorry about that! You can still come at [time], or I can see you at [new time] if that's easier.
7. The client is late
Hi [Name], your appointment was at [time]. Are you on your way? I can hold your spot until [time]; after that I may need to reschedule.
Changes and cancellations
8. Reschedule confirmation
All set, [Name]. Your [service] has moved to [day, date] at [time]. See you then!
9. Cancellation confirmation
Hi [Name], your appointment on [day] at [time] is cancelled. Whenever you're ready, reply here and I'll find you a new time.
10. No-show follow-up
Hi [Name], we missed you today at [time]. Hope everything's okay! Want me to book you another time this week?
Keep the no-show message friendly. If you have a no-show or late cancellation fee, mention it in your booking confirmation and policy, not for the first time in this text.
Bringing clients back
11. Rebooking reminder
Hi [Name], it's been about [3] weeks since your last cut. Want me to save you a spot? I have [day] at [time] or [day] at [time].
12. Holiday or schedule change
Hi [Name], heads-up: [Shop] will be closed [dates]. Spots before the break are filling up, so reply here if you want to book.
Offering two specific times works better than "let me know when you're free": it is easier to answer and leads to more bookings. For more ways to keep regulars coming back, see how to build a barber clientele.
When to send each message
| Message | When |
|---|---|
| Booking confirmation | Right after the booking |
| Reminder | 24 hours before, plus a few days before for bookings made weeks ahead |
| Same-day reminder | 2–3 hours before, for first-time clients or those who have missed before |
| No-show follow-up | The same day, a few hours after the missed time |
| Rebooking reminder | When the client is due for their next cut (often 2–4 weeks) |
Tips for better replies
- Ask for a reply. "Reply YES to confirm" turns a reminder into a confirmation.
- Send at sensible hours. Avoid late-night messages; mid-morning and early evening work well.
- Use the channel your clients use. In many countries that is WhatsApp; elsewhere SMS.
- Get permission. Ask clients if it's okay to message them about their appointments, and keep promotional messages to people who agreed to receive them. Rules on business messaging vary by country.
- Don't overdo it. One confirmation and one reminder are enough for most clients.
